Summer Student Clinical Administrative Assistant - Temporary
POSITION SUMMARY
This role is a summer student opportunity within a clinical administration team, focused on supporting the day-to-day operations of a healthcare office. The position involves welcoming patients, assisting with appointment scheduling, coordinating communications, and helping manage patient records within an electronic medical system. The assistant also contributes to administrative tasks such as organizing referrals, setting up virtual appointments, and ensuring the workspace is well-maintained. Overall, the role provides hands-on exposure to medical office procedures while supporting both patients and staff in a professional environment.
The ideal candidate is a high school graduate with an interest in healthcare or administration who is detail-oriented, adaptable, and comfortable multitasking in a busy setting. Strong interpersonal skills, professionalism, and a commitment to patient confidentiality are essential, along with basic computer proficiency and a willingness to learn new systems. Personal qualities such as reliability, teamwork, and a positive attitude are highly valued, and candidates must be prepared to meet requirements such as a clear criminal record check with a vulnerable sector screening.
- Full Time - Temporary from May to August
- Monday to Friday 7:45AM to 4:00PM
- Wage set at $18.00 per hour
Key Responsibilities
- Welcome patients and visitors at the front desk and direct them appropriately.
- Patient scheduling & communication.
- Assist with scheduling patient appointments under staff supervision.
- Help set up virtual meetings (e.g., Zoom) for patient appointments as needed.
- Communicate with patients via phone or email to provide information and confirm appointments.
- Scan and file patient documents in the electronic medical record (EMR).
- Answer basic patient and public inquiries and escalate complex questions to staff.
- Support staff with follow-up communications when required.
- Assist in organizing and processing patient referrals according to established procedures.
- Assist with daily office tasks, including training room setup, equipment checks, and maintaining a tidy workspace.
- Work collaboratively with other team members to ensure smooth office operations.
- Maintain patient confidentiality and adhere to privacy guidelines.

Education & Experience
- Minimum High School Graduate
- Interest in healthcare, administration, or office work is an asset.
Other Occupational Requirements
- A current and clear Criminal record check with Vulnerable sector check is required.
